Can the system work with how we already operate?

That is the entire point of building custom instead of renting generic booking software. We start by mapping how your rental operation actually runs today: how you take bookings, how deposits work, what happens when something comes back damaged or late, which rules have exceptions and who is allowed to make them. The system gets built around that reality. Off-the-shelf rental software forces your business into its assumptions, and the workarounds your staff invent to cope are usually where double-bookings and lost revenue hide. When we moved a Canadian rental company off paper, the first deliverable was not software — it was an accurate map of their actual process, including the parts that only existed in the owner's head.

How are deposits and damage handled?

Through card pre-authorization holds, configurable per item or category. When a customer books, the system places a hold on their card for the deposit amount without actually charging it — the money never moves unless you decide it should. On return, your staff complete a check-in flow that documents the item's condition with photos, and the hold is either released automatically or captured in part or full if there is damage or a late return. Every decision is logged with who made it and when, which ends the disputes that come from paper records. Late fees can apply automatically by rule or require staff confirmation, whichever fits how you prefer to handle customers.

Do my staff need new hardware or training?

No new hardware. Everything runs in a web browser and on the phones your team already carries — checking in a return works the same on the counter computer as it does standing in the yard with a phone. Training is deliberately light because the system is built around your existing process rather than someone else's: staff are not learning new software so much as seeing their normal routine on a screen. We do a live training session at handover, leave behind short task-specific guides, and remain reachable during the first weeks when questions actually come up. The goal is a tool the least technical person on your team uses without thinking about it.
